Receptionist

Our client, a reputable and well-established organization in the Kansas City metro area, is actively seeking a warm, professional, and welcoming Receptionist to be the first point of contact for visitors and callers. This role is central to creating a positive first impression and supporting seamless office operations.

Position Summary:

The Receptionist will be responsible for managing the front desk and providing exceptional service to all visitors and callers. This includes handling phone calls, coordinating schedules, supporting company meeting, and offering vital administrative assistance across the office. The ideal candidate is customer service oriented, proactive, organized, and adept at multitasking in a dynamic and fast-paced environment.

Key Responsibilities:
  • Front Desk Management: Serve as the welcoming face of the company, greeting and assisting visitors with a high level of professionalism and courtesy.
  • Phone and Communication Management: Answer, screen, and direct incoming calls to the appropriate parties. Take clear, detailed messages, manage call transfers, and provide accurate information to callers.
  • Scheduling and Calendar Coordination: Manage and update team and office calendars, coordinate meetings, and assist with scheduling to ensure efficient time management.
  • Reception Maintenance: Maintain a clean, organized, and welcoming reception area, ensuring supplies are stocked and well-kept.
  • Office Supplies Management: Monitor office supplies, anticipate needs, and place timely orders to ensure smooth office operations.
  • Mail Processing: Oversee all incoming and outgoing mail, manage shipments, and distribute mail accurately.
  • Document Management: Perform document scanning, filing, and indexing as requested, ensuring all files are properly organized and accessible.
  • Invoice and Expense Support: Assist with invoice data entry, processing, and expense report preparation, maintaining accuracy in financial records.
  • Administrative Support: Provide a broad range of administrative support to various departments as needed, contributing to the team’s success.

Qualifications:
  • Experience: Minimum of 2 years in a front-desk or receptionist role, ideally within a professional or customer-focused environment.
  • Communication Skills: Exceptional verbal and written communication abilities, with strong proofreading skills and the ability to communicate effectively across all levels.
  • Interpersonal Skills: Positive, friendly, and energetic demeanor, with strong interpersonal skills to build rapport with colleagues, clients, and visitors.
  • Organizational Skills: Excellent organization and time management skills, with a keen eye for detail and the ability to handle multiple tasks effectively.
  • Adaptability: Flexibility to adapt quickly in a fast-paced environment, handling interruptions and shifting priorities with ease.
  • Tech Proficiency: Comfortable using standard office software, with experience in calendar management and familiarity with invoicing or expense tracking software.
