Project Assistant




We are currently seeking a dynamic and motivated Project Assistant to join our client’s team, focusing on administrative tasks in support of Project Managers and the Senior Case Manager. This role is instrumental in facilitating the successful execution of projects, involving proficiency in MS 365 applications, Adobe, Zoom, and familiarity with various cloud-based applications. The Project Assistant will work closely with the team to ensure seamless project coordination and delivery.



Key Responsibilities:
  • Calendar Management:
    • Manage Firm/Client calendars for project-related events.
  • Supply Chain Management:
    • Maintain inventory of Project and Jury Selection Supplies;place orders as needed.
    • Prepare, pack, and ship supplies for mocks and jury selection projects.
  • Technology Support:
    • Update and test travel and production laptops pre- and post-project.
    • Assist Operations in coordinating and tracking IT service tickets.
  • File and Data Management:
    • Assist Project Managers with pre- and post-project file and data management.
  • Project-Specific Tasks:
    • Work in conjunction with Project Managers on various tasks, including booking travel, tracking research space holds, building and running PPT presentations, proofreading and testing online surveys, drafting work product, assisting with vendor communication and tracking, coordinating social media searches, and conducting technology checks for online focus groups.
  • Meeting Coordination:
    • Schedule project-related Zoom meetings.
  • Travel:
    • Up to 25% travel may be required in support of onsite projects (e.G., 2-3 times per month, 3-4 days at a time).
  • Special Projects:
    • Undertake special projects as requested.

Qualifications:
  • Proficient in MS 365 applications, Adobe, and Zoom;familiarity with Concur, Qualtrics, Otter, SPSS, WebEx, and other cloud-based applications is helpful.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Experience:
  • Relevant experience in project assistance or a related field is advantageous.
  • Recent graduates with a passion for project coordination and administration are encouraged to apply.
