Executive Administrative Assistant

Our client has an immediate need for an Executive Administrative Assistant. This position is responsible for directly supporting their CEO and managing an administrative team.

  • Providing direct administrative support to CEO
  • Screening incoming calls and determining level of priority
  • Serving as primary contact for client inquiries and schedule coordination
  • Vast meeting planning including contract negotiations, catering, agenda preparation, transportation and registration
  • Managing and coordinating all travel logistics for Executives and Management teams as well as create travel itineraries
  • Oversee and supervise team of three executive assistants
  • Maintaining calendar for executive and client meetings
  • Receiving, reviewing, and sorting all incoming correspondence. Distributing external and internal mail and handling efficiently and appropriately
  • Ordering meeting preparation supplies
  • Providing back up support to Reception desk on a rotational basis
  • Collaborating with administrative team

  • 5 or more years’ previous experience providing executive level administrative support
  • Previous management experience is required
  • Professional written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Advanced organization and interpersonal skills
  • Good decision-making ability and judgement
  • Excellent problem solving and time management skills
  • Previous meeting planning and travel coordination experience preferred
  • Ability to adapt to changing timelines and maintain confidentiality
