Job Description
Are you someone who enjoys keeping things organized and working with a great team? This part-time, hybrid Accounting Assistant role supports a stable, well-established organization in Johnson County. The position provides bookkeeping and accounting support across multiple business units, with a focus on timecards, invoicing, QuickBooks entry and reporting, payroll support, and general office tasks. Key Responsibilities
- Monitor and process contractor timecards weekly, including sending reminders, converting files to PDF, and preparing job order reports
- Track contractor PTO and holiday requests in Excel
- Create and email permanent placement invoices and related correspondence
- Enter candidate hours into QuickBooks for payroll and billing purposes
- Generate and distribute weekly contract client invoices
- Compile and track bonus and sourcing activity in Excel for payroll processing
- Enter credit card transactions and attach receipts in QuickBooks on a monthly basis
- Record daily deposits in QuickBooks across all business units
- Prepare and distribute weekly aging reports
- Prepare job order reports and create invoices in QuickBooks for additional business units
- Maintain organized and up-to-date filing for payables and deposits
- Manage office supply ordering and assist with vendor comparisons
- Coordinate printing needs such as letterhead, envelopes, and business cards
Qualifications
- 3–4 years of accounting, bookkeeping, or administrative experience
- Strong proficiency in QuickBooks and Excel
- High attention to detail with strong organizational skills
- Ability to consistently meet weekly deadlines
- Clear communication skills and ability to work independently
- Staffing industry experience is a plus
Schedule & Compensation
- Part-time: approximately 20 hours per week
- Hybrid schedule with flexibility, centered around key deadlines
- Competitive hourly rate based on experience
