The Role

The Administrative Assistant will serve as a key piece of the office operations and client experience. This individual will work directly with clients, support internal team members, and ensure office operations run smoothly.

Major Responsibilities
  • System Administrator of CRM system
  • Schedule client meetings – in person and virtually
  • Prepare virtual client meeting links and email confirmations
  • Manage and maintain all client contact information in CRM and internal databases
  • Handle all office vendor relationships
  • Greet all clients coming to the office
  • Set up conference rooms for meetings as required
  • Update client account information as requested
  • Upload client tax documents
  • Coordinate and arrange all business travel
  • Handle all incoming and outgoing mail
  • Manage all client gift ordering
  • Generate weekly, quarterly, and annual reports as requested
  • Provide general administrative support to Wealth Managers

Requirements for the Role
  • 3 years prior experience in a professional office setting
  • Strong technical aptitude and ability to become subject matter expect for CRM system
  • Ability to handle highly confidential information
  • Friendly, professional demeanor and strength in relationship building
  • Ability to work in office from Monday – Friday from 8am – 5pm
