We are assisting one of our best clients, providing a unique opportunity for an exceptional, highly professional Executive Assistant. This key position requires superior business acumen, excellent interpersonal skills, organization and time management; and a high level of overall executive support proficiency. Confidentiality, proactivity, and dedication are mandatory for both internal and external activities.

Primary Responsibilities:
  • Provides primary day-to-day support for C-Level Management
  • Serves as Executive’ s face and voice in all interactions; coordinating, managing, protecting and preserving their time for high-level activities
  • Provides effective email management, assisting with in-box maintenance, drafting emails and other communication
  • Arranges complex and detailed travel plans, itineraries and agendas; and compiles documents for travel-related meetings
  • Organizes and facilitates internal and off-site special events, to include procurement of catering, travel, reservations, entertainment, A/V equipment, etc.
  • Maintains an extremely active calendar of appointments, coordinating multiple schedules
  • Manages budgets, completes expense reports
  • Coordinates and tracks the Company’ s and Executives’ charitable and community events, including contributions and participants
  • Creates/prepares project reports, spreadsheets, and PowerPoint presentations
  • Independently plans, coordinates, and attends meetings, workshops and townhalls, including tele- and video conference services
  • Conducts and prepares ad hoc research projects
  • Projects a professional image and diplomatically maintains relationships vital to the success of the organization
  • Prioritizes conflicting needs; handles problems proactively, and follows through on projects to successful completion with little need for direction
  • Thrives within a fast-paced, deadline-driven environment
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies

Qualifications:
  • University Degree
  • 5-10 years of high-level executive administrative support
  • Experience in Insurance or Financial industry is a plus
  • Ability to perform under pressure in stressful situations
  • Strong interpersonal, organizational and prioritization proficiencies
  • Excellent verbal and written abilities; exceptional customer service
  • Understanding of corporate culture and etiquette
  • Ability to maintain the highest levels of confidentiality, integrity and professionalism
  • Exhibits flexibility, resourcefulness; self-confidence and tact
  • Detailed event planning experience
  • Available after hours and on weekends/holidays as issues arise; possesses the desire to do whatever it takes to get the job done
  • Dependable, punctual and able to respond well to direction
  • Desire to work in a fast-paced, entrepreneurial environment
  • Experienced in internet research and social media
  • Microsoft Office Suite expertise required
