Executive Assistant



Duties:
  • Handles all clerical and administrative duties for CEO and COO
  • Applies CEO’ s standard protocols to the EA’ s duties
  • Represents the CEO and COO in the EA’ s dealings with the public and with directors and officers of the corporation
  • Prepares confidential reports, correspondence and other information
  • Prepares expense reports and tracks expense reimbursements for CEO and COO
  • Prepares and reviews expense reports for the CEO’ s direct reports for the CEO’ s approval
  • Coordinates and tracks the Company and CEO’ s charitable and community events, including contributions and participants
  • Manages social media accounts for CEO, including: LinkedIn, Twitter, Instagram, etc.
  • Reviews key historical events and conferences and schedules and plans for the same for the CEO and COO
  • Coordinate the logistics of the Board of Directors meetings and Directors’ attendance
  • Prepares materials for executive and quarterly Board meetings
  • Manages the CEO and COO’ s calendar and schedules internal and external appointments
  • Assists as needed with the organization, coordination and adherence to budget on company events and conferences
  • Provides support for CEO and COO on personal matters to free time for business duties
  • Conducts and prepares ad hoc research projects, as directed by the CEO and COO
  • Acts as liaison between the CEO, COO, and direct reports and other key personnel



Requirements:
  • Undergraduate Degree
  • Minimum of three years of high-level executive administrative support
  • Ability to perform under pressure in stressful situations
  • Strong interpersonal skills accompanied by organizational and prioritization skills
  • Strong verbal and written skills
  • Understanding of corporate culture and etiquette
  • Excellent customer service skills
  • Ability to maintain the highest levels of confidentiality and professionalism
  • Flexible and resourceful
  • Self-confidence and tact
  • Detailed event planning experience
  • Available after hours and on weekends/holidays as issues arise
  • Desire to do whatever it takes to get the job done
  • Dependable, punctual and able to respond well to direction
  • Desire to work in a fast-paced, entrepreneurial environment
  • Experienced in internet research and social media
  • Microsoft Office Suite expertise required
  • Strong written and oral presentation skills
